Meeting Minutes –September 21, 2009

The meeting was called to order by President, Johntell White and everyone was welcomed to the meeting.

The previous meeting minutes were read and accepted as read.

Linda was absent from the meeting however, Johntell reported that the bank account had been set up at First National Bank. The initial deposit was $625. The account will offer us free checking and we will only be charged a small monthly maintenance fee. Fifty checks were initially ordered and received.

Mr. Davenport was not at the meeting and there was no update on the bylaws.

Tom Connor gave an update for the marketing committee and stated that the brochure he had laid out for the committee had been corrected and typos fixed and that the Town asked to use the brochure for display at Santee Cooper Country.

Under unfinished business, Myra discussed our yard sale fundraiser. She and Donna had attended the Community yard sale in Santee and there were appx 40 vendors set up. There was a band and the Kiwanis set up a food booth. They estimated close to 300 people in attendance. It was fun and very similar to what we wanted to do. Myra spoke to Mr. Strick and got permission for us to use the open area next to First National Bank as a site for the sale. Toni Scott also offered the Parish house parking area as an option for additional space if needed.

It was decided that the Marketing Committee would be responsible for helping with the advertising. Tom would set up an ad on Craigslist, Danette would make the flyers and Toni offered to have Father John do an article in his column in the Holly Hill Observer. Donna offered to help with the PSAs in other publications and on the radio. We may also purchase and ad in the Post & Courier. It was agreed that we would try to obtain a list of area churches in order to send them a letter and flyer regarding the sale. It was also decided that the advertising budget would be set at $100.

It was suggested to the members that all donated items should be priced and boxed before drop off to Johntell to allow for easier storage and set up. Danette is to ask Tenley if storage space would be available for 1 month to accommodate the donations up until the time of the sale.

Tom volunteered to help Myra mark off the vendor spaces and Myra would take calls for the space rentals. Tom will also advertise EutawvilleSC.com as a way to submit space reservations by email.

It was agreed upon that any leftover unsold items would be offered to Reverend Howell for pick up.

Under New Business, Donna asked if any merchants would be interested in doing holiday advertising for Eutawville. She will obtain more information for the next meeting if possible.

The next scheduled meeting was set for Oct. 5th.

A special thanks goes to Toni and the Parish House for the meeting refreshments.

Mr. Mac won the free listing on EutawvilleSC.com for the month.

The meeting was adjourned.
